Based on the traffic around the area and the credentials office, I highly recommend using light and nimble vehicles for transit between the auto mall staging area and the credentials office. Traffic is usually so bad on race weekends that I don't even leave home. Bring plenty of patience, along with sunscreen.

I am still planning on showing up that morning, would it be OK if I just went straight to the Credential office? The M920 is NOT 'traffic' friendly, the CAT 7155 transmission has close ratios and is slow to up/downshift (so it is just plain slow). If I need to show up to the 'meet' area I can, but the less maneuvering I have to do with it the better.

Do you have any idea where we will be parking once the race starts?

Actually it will be more beneficial to group with us at the staging area. it is one block off the road you will be driving on any way and you will have the benefit of being with other slow green monsters. Hopefully some people might extend extra courtesy as we make our way to the credential office.

Do they depend on the traffic lights or do they have LEO's directing? If they have LEO's maybe I can contact them and indform them of our plans so they can accommodate us as we go through. The trip is only three intersections less the 1/2 mile apart.

Here is the email I sent to the local LEO:

Dear Chief Smith,

I am facilitating the “Vintage Military Vehicle” vehicle participation of the Coca-Cola 600 event. We will be staging then moving 15 large and cumbersome wheeled military vehicles from the still under construction Hendrix Mega Mall Off of Brutton Smith Blvd opposite the Honda Dealer the day before the race. On May 26th at 9:30 am , the day of the race, we will be leaving The auto Mall turning right on Brutton Smith Blvd turning right on HWY 26 the left onto Moorhead Rd. finally turning left just before the track Credential office.

I am writing this to you; 1) so you are aware of our activities,2) Hopefully we can have an escort 3)or We can have extended courtesies from the officers direction traffic during the move.

I have a question Butch. In the event that it is raining or has rained, would it be possible to line up along the paved entrance road, since it isn't in public use yet, to avoid the mud pit that will be our original staging area?

Guys and Gals;

You will notice that the track furnished map refers to a pit party. I have no idea what that is about and I can't check. Well have to play it as it comes. The communication channel between us and the track has always been very very poor, practically non existent. That is the reason for having to ask for your info numerous times. I've never gotten an official document from the track listing the requirements and restrictions. I've been going by by past peoples memories , pictures and "thinking out loud" from the us to the track contact. Now that we have the map and schedule, finally, We can pull this off.

I've reached the deadline for the MOG trailer. The guy that keeps promising hasn't done anything tangible. I needed to test the set up. So I'm going to have to take the bucket and back-hoe off and use my own 5 ton trailer. That means I won't be able to carry the mule if needed. Perhaps CBR can sling it for the sort drive to the track. But I will have a buggy to toot around town during the night overs.

I got an email from Hendricks telling me I've been spelling their name wrong. Its not Hendrix but Hendricks. Seems they a very sensitive about that.

Butch,
Can you send us a map to the staging area? The trip into the racetrack will be easy, just as long as the one in front knows where they are going, the rest can follow like elephants.

I am still trying to decide whether to show up Saturday afternoon, or early on Sunday.

I would bet that all major intersections will have Leo protection. When we did the Boy Scout thing in Atlanta, we were given a chance to stay together by a LEO helping out a funeral home. I would hope that the LEO's up there would see that we needed to stay together.

I think I found the staging area. Checked Google maps, and found the cleared off area, across from the Honda dealership.

go to: http://1drv.ms/1l1Cfiv for a video of the route, schedule and various maps. The space is awesome

I contacted LEO and they asked for my phone number so we can talk lets see what kind of support we get. At least they will be looking out for us. The elephant walk will work. The destination is almost in sight of the departure. But the traffic will be terrible, a good chance we will get split up. Only three traffic lights with turns and we will not be exactly convoying but following regular driving laws and courtesies. Safe distances, allowing people to come in between. stopping for red lights and very reasonable speeds (we will be following the mule:).

Butch, what is the talk about me doing something with the Mule? I can unload it if need be (although I was thinking he was bringing it on a trailer now), but I would not want to say I will haul it to or from the track, ONLY because if I leave the race early he would have to leave when I do. If it will run at least 10-15mph he will be fine driving it, we won't be going that fast anyways. If the cops say something to him I am sure if he explains what he was there for they would give him a free pass. I doubt they would have time to say anything about it anyways...

We will be at the staging area around 8:30 Sunday morning.

Just trying to plan for everything. The thinking was I could carry it slung from the MOG bucket if for some reason we absolutely needed to . But the trailer sombody promised to carry the MOG fell through. I can carry the MOG on my own 5 ton trailer but I have to take off the bucket and back hoe. A LEO recently ticketed a fire truck for stopping on a highway. They stoped to put out a fire. True story!

Fear realized.....
After threatening to cancel I got the track contact information. One email and one response got me information I've been begging for for months. Unfortunately and as expected we still don't have what we need to register.

Participants under 18:
Must have a color printed notarized two page release for for each individual under 18 brought to the Credential booth at the time of registrtion. Both parents and the individual must sigh in front of a notary,
goto : www.charlottemotorspeedway.com/waivers for the waiver and instructions.

ALL
I will need the names of each individual attending.

Here is a copy of the track response to my email:

Actually, anyone under the age of 18 is considered a minor and will have to have a notarized minor waiver form with them upon their arrival to our credential office as they cannot facilitate that there. You can find those at www.charlottemotorspeedway.com/waivers and it does require that both parents sign the waiver as it is getting notarized. It is a process to go through but unfortunately we are under very strict requirements for that and the rules are posted on that website.

For now, the number of people is the most crucial and if we can get a list of the names prior to arrival next week, that would be perfect! I will be able to print that off and put it within the envelope and it will greatly help our credential team that has a mountain of paperwork that they need to stay accounted for.
